Standard Digital Content Creation Workflow

Industry Best Practice

This workflow keeps every project clear, documented, and aligned with broadcast, agency, and union standards.

1. Project Request (Email Initiation)

All projects begin with a written email request to ensure accuracy, accountability, and transparency.

  • Project purpose (ad, banner, screen content, social, etc.)
  • Location(s)
  • Target audience
  • Desired length/format (e.g., 15s, 30s, banner size, screen loop)
  • Deadline or launch date
  • Budget approval or rate acknowledgment
  • Primary contact for feedback and approvals

📌 Phone conversations may occur, but must always be followed by an email summary to confirm details.

2. Pre-Production / PREVIS (Planning Stage)

Before any filming or design work begins, we confirm details in writing to prevent miscommunication and reshoots.

  • Creative direction and messaging
  • Required logos, branding, fonts, colors
  • Music direction (licensed, provided, or custom)
  • On-screen text and spelling confirmation
  • Final deliverables and formats

✔️ This step prevents unnecessary revisions.

3. Production (Capture or Creation)

Once PREVIS is approved:

  • Video capture, photography, animation, or design begins
  • Work is performed according to the approved plan
  • Changes after production begins may impact schedule or budget

4. First Draft Delivery

  • A Draft 1 is delivered via email or secure link
  • Feedback must be provided in writing (email preferred)
  • Feedback should be consolidated into one response

5. Revisions (Maximum of Three Drafts)

  • Industry standard allows up to three drafts total
  • Each draft refines the prior version based on written feedback
  • Requests outside the original scope may require approval

🚫 Projects should not continue indefinitely with open-ended revisions.

6. Final Approval (Written Sign-Off)

  • Final approval must be given in writing
  • Files are finalized and prepared for delivery or display
  • Changes after approval are new revision requests

7. Delivery & Archiving

  • Final assets are delivered in agreed formats
  • Files are archived for a defined period
  • Re-use or re-edits can be requested as new projects

Communication Standards (Non-Negotiable)

  • Email is the primary workflow tool
  • Phone calls support—not replace—written communication
  • All approvals, changes, and confirmations must be documented

Why This Workflow Matters

  • Eliminates confusion and errors (misspellings, wrong messaging)
  • Reduces wasted time and repeated drafts
  • Keeps costs predictable
  • Aligns with broadcast, agency, and union standards
  • Ensures transparency for all parties
